At some point, every growing business outgrows its spreadsheets. The client list lives in three tabs, the quote template gets copied and broken monthly, and somebody's phone holds the only up-to-date version of the schedule.

The fix is an internal tool, a small piece of software shaped exactly around how your business works. And there are two honest ways to get one: build it yourself on a no-code platform, or have it built and run for you.

Both are legitimate. But the comparison most owners make (the platform's monthly price against a service's monthly price) misses most of what the DIY route actually costs. Here is the fuller picture.

What DIY Really Costs

The subscription is the smallest line. No-code platforms are usually priced per user, per month. That looks modest at first, until the team grows and every new hire adds to the bill. The tools people build on these platforms tend to be exactly the ones the whole team needs, which means the per-user meter runs on everyone.

Your evenings are the biggest line. Learning a builder well enough to make something your team relies on takes real time, not a weekend, but weeks of evenings. That time has a cost, and it is usually the owner's most expensive hours being spent on it. The build is also never quite finished: every "can it also do X?" from the team lands back on you.

You become the maintainer. This is the cost nobody prices in. Platforms change: features move, automations stop firing, integrations need re-authorizing. When something breaks at 8 a.m. on invoice day, the person who fixes it is you, because you are the only one who knows how it works. Software people call this the bus factor, and DIY tools have a bus factor of one: the owner.

Complexity has a ceiling. No-code builders are excellent for simple tools and get progressively harder as the tool grows real logic: multi-step workflows, permissions, calculations, integrations. Many DIY tools plateau at "almost what we need," and the workarounds accumulate quietly.

When DIY Is the Right Answer

Honestly, sometimes it is. If you enjoy building software, if the tool is genuinely simple, if your team is small enough that per-user pricing stays sensible, and if you have the evenings to spare, a no-code platform can serve you well for years. Some owners find the building genuinely satisfying. If that is you, build it.

When Done-for-You Is the Right Answer

The done-for-you case rests on one question: what is your time for?

If the honest answer is "running the business, not building software," then the DIY route has you doing a second job at your most expensive hourly rate. Done-for-you means you describe what you need in plain words, someone builds it, and (this is the part that matters most) someone keeps it working. The field your bookkeeper asks for gets added by asking. The thing that breaks gets fixed by someone whose job that is.

What Done-for-You Costs With Us

Our version of done-for-you is a flat subscription: $99/month: we build it, host it, and update it. Unlimited users (fair use). Monthly, cancel anytime. Your data exports free, anytime. There is an annual option ($990/year, 2 months free), and additional tools are $79/month each. These prices are locked in for as long as you stay subscribed.

That is usually less than you'd pay to build and run it yourself on a no-code platform once the per-user pricing and your own hours are counted, and it starts with a free working preview, so you see your actual tool live before paying anything. When you decide to subscribe: your payment link arrives in your inbox, usually within the hour. The details, including a gallery of the tools small businesses ask for most, are on our internal tools page.

A Middle Path: Start DIY, Switch When It Hurts

One more honest option deserves a mention, because plenty of businesses take it without planning to: start on a no-code platform, and switch to done-for-you when the maintenance starts hurting.

Nothing about the DIY phase is wasted when that happens. The tool you built, even a rough one, is the best possible specification for its replacement. It shows exactly which fields your team actually uses, which automations matter, and which parts of the original idea turned out to be unnecessary. Handing someone a working-but-creaky DIY tool and saying "like this, but I never want to maintain it again" is one of the fastest starts a build can have.

So if you are mid-DIY and it is going fine: keep going. The switch is there when the evenings stop being worth it.

The Comparison That Actually Matters

Strip away the pricing pages, and the choice comes down to this:

DIY: lower sticker price, your time, your maintenance, per-user growth, and a tool limited to what the platform (and your patience) allows.
Done-for-you: a flat price, none of your time, someone accountable for keeping it running, and a tool shaped to your business instead of to a builder's templates.

Neither answer is wrong. But make the comparison with all the costs on the table, especially the ones that get paid in evenings.
